We are seeking a highly organized and detail-oriented Executive Administrative Assistant to support our provider and Practice Administrator. This role demands a high level of discretion, professionalism, and the ability to multitask in a fast-paced environment. The ideal candidate will be responsible for managing the executives' schedules, preparing important documents, and ensuring efficient operation within the executive office.
Responsibilities:- Coordinate and manage the daily schedule of Practice Administrator and Provider, ensuring optimal use of their time.
- Prepare and edit correspondence, reports, presentations, and other documents with a high degree of accuracy and professionalism.
- Facilitate communication by managing incoming calls and emails, directing inquiries to the appropriate departments, and ensuring timely responses.
- Organize and maintain filing systems to ensure easy access to critical information.
- Plan and oversee logistics for meetings, including scheduling, venue selection, and technology setup.
- Handle confidential information with the utmost discretion and integrity.
- Conduct research and compile data to support decision-making.
- Perform additional administrative tasks as required to support the executive team.
- Proven experience in an executive administrative role or similar position, demonstrating a track record of supporting senior-level executives.
- Strong command of the Microsoft Office suite, particularly Word, Excel, and PowerPoint.
- Exceptional organizational skills and the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Ability to handle sensitive information with discretion and confidentiality.
- Adaptability and the capacity to work independently as well as part of a team.
- Attention to detail and problem-solving skills.
- A proactive approach to tasks and the ability to anticipate the needs of executives.
- A minimum of a high school diploma or equivalent; a bachelor's degree in Business Administration or a related field is preferred.
- At least one year of experience in an administrative role, directly supporting upper management.
Pay: $15.00 - $20.00 per hour
Expected hours: 20-30 per week- Day shift
- Monday to Friday
